Transaction

The Transaction menu is used to view the complete transaction history of members within a brand. Through this menu, brands can monitor transaction activities comprehensively or search for specific transactions based on member details, transaction type, store, or a specific period. The transaction data in this menu is also used as a source of information for the Transaction Summary section in the Insight menu.

Transactions in this menu are divided into three types:

1. Card Transaction : Transactions that occur on membership cards, including top up, wallet top up, redemption, wallet redemption, activation, and expired transactions.

2. e-Voucher Transaction : Transactions related to member e-voucher usage.

3. Tadakado Transaction : Transactions involving the redemption of Tadakado physical items by members. Contact the Tada team to enable the Tadakado Transaction menu.


How to View Card Transactions

1. Click the “Transaction” menu and select the “Card Transaction” tab.

2. Enter filters to make transaction searches easier. The following filters are available:

  • Start Date
  • End Date
  • Transaction ID
  • Card Number
  • Transaction Type
  • Rewards Name
  • Customer Name
  • Phone Number
  • Program ID
  • Store
  • Transaction Status
  • Bill Number
  • Target Name

3. After entering the desired filters, click “Apply Filter”.

4. The system will display transactions that match the selected filters.

Steps to Download a Card Transaction Report

1. Click the “Transaction” menu and select the “Card Transaction” tab.

2. Enter filters to narrow down the transaction data.

3. After entering the desired filters, click “Apply Filter”.

4. Click the “Download” button.

5. The system will display a pop-up. Select the data format to download: Clean or Raw Data Format.

Note:

  • Clean format : The downloaded data will be displayed in a cleaner and more organized format. However, this format has limitations on the amount of data that can be processed during download (maximum 10,000 rows).
  • Raw format : The downloaded data will be displayed in its original raw format as stored in the system. We recommend using this format when downloading large amounts of data to ensure optimal performance.

6. Select the date range for the report and enter the email address that will receive the report.

7. Click “Send to email” 

8. The transaction report will be sent to the specified email address as a file attachment.

Card Transaction Data Definitions

  • Date time: Date and time when the transaction occurred.

  • Customer name: Name of the customer who performed the transaction (displayed if available in the system).

  • Phone number: Customer's phone number.

  • Email : Customer's email address (displayed if available in the system).

  • Program name: Name of the program where the transaction occurred.

  • Card number : Membership card number used in the transaction.

  • Merchant name : Brand associated with the transaction.

  • Store: Store where the transaction occurred.

  • Cashier name: Name of the cashier who processed the transaction (blank if not processed by a cashier).
  • Wallet name: Name of the wallet used in the transaction. 

  • Transaction type: Type of transaction performed by the customer.


The available transaction types include:

  • Activation: Member card activation
  • Sign Up Reward: Reward generated from sign-up
  • Wallet Top Up: Addition of wallet balance
  • Top Up: Addition of balance
  • Wallet Redeem: Redemption from wallet
  • Redemption: Redemption from balance
  • Selling Commission: Reward generated from Virtual Franchise
  • Privileges Reward Wallet: Wallet reward generated from a privilege
  • Privileges Reward Balance: Balance reward generated from a privilege
  • Purchase: Transaction paid using external payment methods
  • Complimentary Wallet Top Up: Complimentary wallet balance addition
  • Complimentary Top Up: Complimentary balance addition
  • Referral Commission: Reward generated from referrals
  • Void: Voided transaction
  • Level Change: Member level downgrade or upgrade
  • Expired: Wallet or balance expiration
  • Incentive: Reward generated from a cashier incentive program
  • Comm Referral Egift: Commission earned from eGift referrals
  • Comm Referral Subscription: Commission earned from Subscription referrals
  • QRIS Redemption: Redemption using QRIS
  • Point Reward Redeem: Redemption using reward points
  • Cash Reward Redeem: Redemption using cash rewards
  • Subs New: First-time subscription purchase
  • Subs Renewal: Subscription renewal
  • Point Transfer - Send: Point deduction due to point transfer
  • Point Transfer - Receive: Point addition received from point transfer
  • Suspend: Member card suspension
  • Unsuspend: Member card reactivation
  • Delete Member: Member card deletion
  • Achievement Earned: Progress toward a target completed by the member
  • Achievement Reward: Reward granted after completing a target at the end of the target cycle (monthly or quarterly)
  • Reward Adjustment: Reward correction transaction
  • Earned Restriction: Changes the member's status to Restricted, preventing them from earning or topping up points while still allowing them to redeem points.
  • Unrestrict: Changes the member's status back to Unrestricted, restoring the member to the default Active status.
  • Amount (IDR) : Transaction value in Indonesian Rupiah.

  • Amount (pts): Transaction value converted into points.

  • Current balance (IDR) : Member’s current point balance converted into Rupiah.

  • Current balance (pts) : Member’s current point balance in points.

  • Bill number : Receipt or bill number associated with the transaction.

  • Status: Transaction status. There are three possible statuses:

1. Pending: Transaction is being processed by the system

2. Accepted: Transaction successfully processed

3. Decline: Transaction failed or was rejected by the system

How to View e-Voucher Transactions

1. Click the “Transaction” menu and select the “e-Voucher Transaction” tab.

2. Enter filters to make transaction searches easier. Available filters include:

  • Start date
  • End date
  • Voucher name
  • Transaction ID
  • Reference ID
  • Transaction type
  • Customer name
  • Phone number
  • Approval code
  • Store
  • Transaction status

e-Voucher Transaction Types

  • Voucher Redeem: Successfully redeemed e-voucher transaction.
  • Voucher Sent: e-Voucher successfully sent to a member.
  • Voucher On Hold: e-Voucher cannot be used because the delivery status through WhatsApp, SMS, or Email is marked as undelivered.
  • Voucher Release: e-Voucher previously on hold that has become available again.
  • Voucher Void: Voided e-voucher transaction.
  • Voucher Expired: Transaction involving an expired e-voucher.
  • Achievement Reward: e-Voucher granted as a reward for completing a target.
  • Privileges Reward: e-Voucher granted as a reward for completing a privilege, such as filling out a survey.


3. Click “Apply Filter” and the system will display transactions that match the selected filters.
Note: Only closed-loop vouchers (owned by the brand) can be viewed in this menu. Open-loop voucher transactions are not displayed.

Steps to Download an e-Voucher Transaction Report

1. Click the “Transaction” menu and select the “e-Voucher Transaction” tab.

2. Enter the desired filters.

3. After entering the filters, click “Apply Filter”.

4. Click the “Download” button.

5. The system will display a pop-up. Select the desired download format: Clean or Raw Data Format.

e-Voucher Transaction Data Definitions

  • Date time: Date and time when the transaction occurred.

  • Customer name: Name of the customer who performed the transaction (displayed if available in the system).

  • Phone number: Customer’s phone number.

  • Email : Customer’s email address (displayed if available in the system).

  • Issuer: Party that generated the e-voucher.

  • Merchant name : Brand associated with the transaction.

  • Store: Store where the transaction occurred.

  • Cashier name: Name of the cashier who processed the transaction (blank if not processed by a cashier).
  • Transaction type: Type of transaction performed.


Available transaction types:

  • Voucher redeem: e-Voucher successfully used or redeemed by the customer
  • Voucher sent: e-Voucher successfully sent to the customer
  • Voucher on hold: e-Voucher temporarily unavailable because delivery via WhatsApp, SMS, or Email failed with an undelivered status
  • Voucher release: Previously on-hold e-Voucher that has become active again
  • Voucher void: Voided e-voucher transaction
  • Voucher expired: Expired e-voucher
  • Achievement reward: Voucher earned from a completed achievement
  • Privileges reward: Voucher earned from a completed privilege
  • e-Voucher: Name of the e-voucher used in the transaction.

  • e-Voucher Type: Type of e-voucher used in the transaction (single or multiple e-voucher).

  • Reference ID: e-Voucher identifier used to search for e-voucher details in e-Voucher Info (Chapter 10.12: How to View e-Voucher Details in e-Voucher Info)

  • Approval code: Voucher code used for brand reconciliation purposes.

  • Amount: e-Voucher value in Indonesian Rupiah.

  • Bill number : Receipt or bill number associated with the transaction.

  • Status: Transaction status. There are two possible statuses:

1. Accepted: Transaction successfully processed by the system

2. Decline: Transaction failed or was rejected by the system


How to View Tadakado Transactions

1. Click the “Transaction” menu and select the “Tadakado Transaction” tab.

2. Enter filters to simplify transaction searches. Available filters include:

  • Start date
  • End date
  • Unique Code
  • Transaction type
  • Program Name
  • Transaction status

3. After entering the desired filters, click “Apply Filter”.

4. The system will display transactions matching the selected filters.

5. For integrated clients, custom keys and values can be submitted during Tadakado redemption. These custom keys and values will be stored in a pop-up modal that can be accessed through the Unique Code column.

Steps to Download a Tadakado Transaction Report

1. Click the “Transaction” menu and select the “Tadakado Transaction” tab.

2. Enter the desired filters.

3. After entering the filters, click “Apply Filter”.

4. Click the “Download” button.

5. The system will display a pop-up. Enter the recipient email address for the report.

6. Click “Send to email” 

7. The transaction report will be sent as a file attachment to the registered email address.

How to Void Transactions in Bulk

1. Click the “Transaction” menu.

2. Click the “Bulk Void” button located next to the “Download List” button.

3. Download the template used for voiding transactions.

4. Fill in the transaction details to be voided in the “Need to be Filled” sheet.

5. Upload the completed file and click “Submit”.
